QR code hotel welcome booklet: one-day rollout

What to prepare, what to test before printing and two text templates to welcome your guests.

Start with the five arrival questions

Your first guide does not need to cover everything. Ask reception which questions came up this week, then write short answers: where to park, how to get inside, how to connect to Wi-Fi, when breakfast is served and how to reach someone. Add departure instructions before printing your supports.

A day of preparation, if your content is ready

  1. In the morning: gather the essentials. Have one person check opening hours, links and contact details. Replace vague wording with something usable: “Breakfast is served from 7 to 10 am in the ground-floor dining room.”
  2. Before printing: test the guide. Open the link while signed out, then scan the code with the devices your team has available. Check it on mobile data and your property’s Wi-Fi.
  3. In the afternoon: try one room. Print a sample, put it where guests will see it and scan it from a normal reading distance. Avoid glare, folds and busy backgrounds. Leave a white margin around the code.
  4. Before the next arrival: show your team. Everyone should be able to open the guide and explain access in one sentence.

What should you write beside the code?

A code needs an introduction. Adapt this text: “Welcome! Wi-Fi, breakfast, local recommendations and check-out: your stay information is here. Scan this code with your phone’s camera. Need a hand? Ask reception.” Include a readable short link for guests who prefer not to scan.

Place it where questions arise, such as reception or the room’s desk. Keep printed information or personal help available for guests without a phone. Essential safety information should remain available on site.

A message to send before arrival

“Hello [first name], we look forward to welcoming you on [date]. Find directions, arrival times and useful stay information here: [guide link]. If you still have a question, reach us at [contact]. See you soon, [property].”

After a week, fix what is missing

Write down the questions guests still ask reception. If they cannot find check-out time, move that answer up before adding another section. Review the views available in your statistics alongside the number of stays: one view does not necessarily mean one guest or one room.

  • Assign someone to check hours and contact details whenever they change.
  • Scan a printed support after a significant update.
  • Use new guest questions to guide the next revision.
